Cancellation & Refund Policy
This Cancellation & Refund Policy explains the conditions governing cancellations, withdrawals, non-attendance, incorrect payments, duplicate transactions and refunds associated with World Philosophy Day Malaysia events and related activities.
Last Updated: 23 October 2026
Important Notice Before Making Payment
All successfully completed registration payments are generally considered final and non-refundable in cases of participant-initiated cancellation, withdrawal or non-attendance.
Exceptions may apply in circumstances expressly provided under this policy, where approved by the relevant Management, or where required by applicable law.
Participants are strongly encouraged to review all event details and registration conditions before completing payment.
01. Scope of This Policy
This policy applies to paid registrations for conferences, events, programmes and related activities organised or administered by World Philosophical Forum Malaysia (WPF Malaysia) under World Philosophy Day Malaysia, unless different terms are expressly stated for a particular activity.
For World Philosophy Day 2026, applicable conference registrations and payments are currently facilitated through the Yayasan Gual Periok website.
The payment and transaction administration process may therefore involve Yayasan Gual Periok and its authorised payment service providers.
This policy should be read together with the applicable registration terms, checkout conditions and payment policies.
02. General Refund Policy
All successfully completed registration payments are generally final and non-refundable.
Participants are responsible for reviewing relevant details before completing payment, including:
- Event name and description
- Registration fee
- Date and time
- Venue and location
- Programme information
- Participant eligibility
- Travel and accommodation requirements
- Registration details
- Applicable terms and conditions
Once payment has been successfully completed, a participant-initiated cancellation or withdrawal will not ordinarily qualify for a refund.
Exceptions may be considered in circumstances expressly stated in this policy or where otherwise required by applicable law.
03. Cancellation by the Participant
Where a participant is unable to attend an event after completing payment, the registration fee will generally not be refunded.
This includes cancellations or withdrawals arising from:
- Personal circumstances
- Changes in travel arrangements
- Scheduling conflicts
- Work or professional commitments
- Personal emergencies
- Changes of preference
- Inability to obtain travel arrangements or supporting documents
- Other reasons resulting in voluntary withdrawal
A participant’s inability to attend does not automatically create an entitlement to a refund.
Any exceptional request may be submitted for consideration, but submission of a request does not guarantee approval.
04. Non-Attendance
Failure to attend a registered event, whether in full or in part, does not ordinarily entitle the participant to a refund.
This includes circumstances where a participant:
- Does not arrive at the event venue
- Arrives after the relevant programme has commenced
- Leaves the event before completion
- Is unable to attend a particular session
- Chooses not to participate after registration
Registration fees will not generally be refunded solely because a participant did not attend or participate.
05. Incorrect or Duplicate Payments
If a participant believes that an incorrect amount has been charged or that a duplicate payment has occurred, the matter should be reported promptly.
The participant may be requested to provide:
- Full name
- Registered email address
- Event or programme name
- Order or registration number
- Payment date and amount
- Transaction reference
- Relevant payment confirmation or supporting evidence
The relevant registration or payment administrator will review the transaction records and payment status.
Where a duplicate or incorrect charge is verified, an appropriate refund or adjustment may be arranged, subject to the applicable verification process, management approval where relevant, and mandatory legal requirements.
Submitting an enquiry does not itself confirm that a duplicate or incorrect transaction has occurred.
Participants are encouraged to contact the administrator before attempting repeated payments where an earlier transaction has an uncertain status.
06. Changes to Events or Programmes
WPF Malaysia and the relevant event organisers reserve the right to make reasonable changes to event or programme arrangements where necessary.
Such changes may include:
- Adjustments to the programme schedule
- Changes to the timing of sessions
- Replacement or withdrawal of speakers
- Changes to conference content
- Changes to event venue or facilities
- Adjustments to the format of activities
- Other reasonable operational arrangements
Such changes do not automatically entitle a participant to a refund.
Where a material change occurs, the organiser will make reasonable efforts to notify affected participants.
Any refund or other remedy required by applicable law will remain available.
07. Cancellation of an Event by the Organiser
Where an event or programme is cancelled entirely by the organiser and will not proceed, affected registered participants will be notified through appropriate communication channels.
Registration fees paid for the cancelled event or programme will be eligible for refund, subject to verification of the relevant registration and payment records and approval by the Management.
For World Philosophy Day 2026, where the applicable paid conference registration fee is RM250, an eligible refund following a complete organiser-initiated cancellation would ordinarily relate to the amount paid for that registration.
Where a refund is approved or otherwise legally required, the relevant administrator will communicate the applicable refund arrangements to affected participants.
This provision does not limit any refund or other remedy that a participant is entitled to receive under applicable law.
08. Refund Processing and Payment Methods
Where a refund has been approved or is otherwise required, the refund will be processed through the appropriate registration or payment administrator.
Depending on the original transaction, this may involve Yayasan Gual Periok, an authorised payment gateway, a financial institution or another relevant payment service provider.
Refunds will ordinarily be processed through an appropriate payment method, taking into account the original transaction and applicable payment-provider requirements.
Processing times may vary depending on the payment method, verification requirements and financial institution involved.
Participants will be informed of relevant refund arrangements where appropriate.
Once a refund has been initiated, the time required for funds to appear in the participant’s account may depend on the relevant payment service provider or financial institution.
09. Travel, Accommodation and Related Expenses
Unless expressly stated otherwise, participants are responsible for making and managing their own travel, accommodation and personal arrangements.
Registration fees do not ordinarily include independently purchased travel, accommodation, transportation or other incidental expenses.
Where a participant cancels their registration, such independent expenses are not covered by the event registration refund policy.
Where an event is changed or cancelled, any responsibility for related expenses will be determined in accordance with the applicable terms and legal requirements.
Participants are encouraged to review the cancellation conditions of their travel and accommodation providers before making reservations.
10. Requests for Refund Consideration
A participant wishing to raise a payment-related concern or submit a request for refund consideration should contact the relevant registration administrator or the World Philosophy Day Malaysia administration team.
The request should include sufficient information to identify the registration and transaction.
Where additional supporting documentation is required, the participant may be contacted accordingly.
Requests will be reviewed based on the circumstances of the case, relevant records, applicable policies and legal requirements.
Management approval may be required for discretionary refund exceptions.
No statement in this policy prevents a participant from exercising any statutory right or pursuing an available lawful remedy.
11. Payment Enquiries and Disputes
For enquiries concerning registration payments, duplicate transactions, incorrect charges, cancellations or refunds, please contact:
World Philosophical Forum Malaysia
World Philosophy Day Malaysia Administration

Where the payment was processed through Yayasan Gual Periok, the enquiry may be referred to the relevant YGP payment or registration administrator for transaction verification and processing.
Participants should provide the necessary registration and payment details to facilitate a proper review.
12. Changes to This Policy
WPF Malaysia may revise this Cancellation & Refund Policy to reflect changes in event arrangements, administrative procedures, payment facilities or applicable requirements.
The latest version will be published on this page together with the relevant last-updated date.
Any revision will be subject to applicable law and will not remove rights that have already arisen under applicable terms or mandatory legal requirements.
13. Acknowledgement
By proceeding with a paid registration, participants acknowledge that they have been given the opportunity to review the applicable cancellation and refund conditions.
Participants acknowledge that successfully completed payments are generally non-refundable for participant-initiated cancellations, withdrawals and non-attendance, subject to the exceptions and legal rights described in this policy.
Participants are encouraged to retain their registration and payment confirmations for future reference.
